We are seeking a proactive and highly organized Administrative & Event Assistant to support daily

administrative operations and assist in planning and coordinating events. The ideal candidate will be

detail-oriented, flexible, and able to manage multiple tasks in a fast-paced environment and ready to start

in January 2026.

Key Responsibilities

  • Provide general administrative support : serve as the friendly first point of contact for visitors and

calls.

  • Maintain office supplies, handle purchase orders, and support vendor management.
  • Support HR team with administrative tasks when required.
  • Support Event Manager in preparation of annual conference and events when necessary.
  • Prepare reports, presentations, and other documents as requested.
  • Before events, provide support with logistics, communications and planning meetings
  • During events, providing on-site registration support at the front office.
  • Ensure smooth communication and collaboration across administration/finance and event

departments.

  • Miscellaneous tasks as requested by managers.

Qualifications And Skills

  • Previous experience in administration or event coordination is an advantage.
  • Excellent organizational, proactive attitude and multitasking skills.
  • Strong written and verbal communication in English (additional languages are a plus).
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and ability to work independently as well as in a team.
  • Flexible, resourceful, and customer-service oriented.

Candidates must be eligible to work in the EU and able to live and work in Belgium during their internship.
